Rightcharge helps businesses reimburse EV charging costs accurately and automatically, without estimates or manual expense claims.
Key reimbursement dates
These dates apply to all drivers using home charging reimbursement.
Reimbursement paid on: 15th of the following month (i.e: sessions for 1st - 31st January are reimbursed on around 15th February).
Manual uploads deadline: 27th of the month (i.e: if you manually upload, please ensure this is done by 27th of the month to be reimbursed on the 15th of the next month)
Late or missed sessions that are added the following month: rolled into the next reimbursement cycle (i.e: if you add in a session for 31st January on 1st February, this won't be reimbursed until March 15th).
In short, charging sessions from one month are reimbursed on around the 15th of the next month, for all the charging sessions recorded the month before.
What can drivers be reimbursed for?
Depending on how your company is set up, you will have access to one or both of the following:
Home Charging
Business EV charging completed at home
Automatically or manually reported
Reimbursed based on your actual electricity tariff
Public Charging
Charging at 37 plus public charging networks
Accessed using the Rightcharge public charge card
Paid for or reimbursed based on your company’s payment mode
How does Rightcharge calculate home charging reimbursement?
To calculate how much you are owed, Rightcharge needs to understand two key things:
1: How much electricity you used
This is measured in kilowatt hours and relates only to charging your business vehicle.
There are three ways this data can be collected.
Automated charger connection (recommended)
If your home charger supports an automated connection, it will automatically share:
How much electricity was used
When each charging session took place
This is the most accurate option and requires no manual input.
Manual charger data upload
If your charger does not support automated connections, you can upload charging session data manually.
Sessions should ideally be uploaded after each charge
Monthly uploads are allowed but must be submitted by the 27th
Each session must be uploaded individually
Bulk uploads of multiple sessions are not recommended
Uploading sessions individually ensures the most accurate reimbursement.
Vehicle data connection (limited cases)
In some cases, charging data can be collected directly from your vehicle if it supports an automated connection. This method is generally less accurate than charger based data and is not recommended for most vehicles.
If your charger is not supported and you would prefer not to upload data manually, contact the Rightcharge team and we can check whether vehicle data could work for you.
2: How much your electricity costs
This is the price per kilowatt hour used to calculate the cost of each charging session.
Automatic tariff connection (recommended)
Rightcharge is integrated with most major UK energy suppliers. When connected automatically:
Your unit rates are retrieved directly
Tariff changes are updated automatically
Reimbursement stays accurate over time
If you switch energy suppliers, you will need to update this in the app.
Manual tariff entry
If your tariff is not supported, or you choose not to connect it automatically, you can enter your unit rates manually.
Rates must be kept up to date by you
Incorrect rates may result in inaccurate reimbursement
Because this option requires ongoing manual updates, it is not recommended unless necessary.
When and how are drivers reimbursed?
Reimbursements are processed monthly.
Payments are made on around 15th of the following month
Manual uploads must be submitted by the 27th to be included
Late sessions roll into the next cycle
Drivers can check reimbursement progress in two ways.
In the Rightcharge app or platform, each charging session shows a status flag indicating whether payment has been processed.
Drivers can also check their energy supplier bill to confirm that the reimbursement has been applied.
